TITLE The name of the club shall be Tickhill Bowling Club (hereinafter referred to as the Club).
AIMS & OBJECTIVES The objectives of the Club are to provide facilities for and promote the playing and enjoyment of the game of Crown Green Bowling in Tickhill, to join Leagues and Cup Competitions and to allow sufficient green time for social and non-competitive bowling, encouraging members of the local community and surrounding areas to participate.
AFFILIATION The Club shall pay affiliation fees to the Doncaster & District Bowls Association (DDBA), the South Yorkshire Bowls Association (SYCGBA) and the British Crown Green Bowls Association (BCGBA). The Club shall adopt and conform to the current Laws of the Sport of Crown Green Bowling.
MEMBERSHIP The annual subscription shall be fixed at the AGM and must be paid by the end of March to confirm membership for the following year. Details of types of membership are set out in the current Tickhill Bowling Club Membership Conditions and Subscriptions document. New members who join the Club during the season shall pay a pro-rata subscription, reduced monthly from June onwards. The Club will pay insurance cover for all members and equipment. A member shall have the full use of all Club facilities and be able to play on the green when it is not being used for or a league match or competition. Honorary members are elected at the age of 90 and do not pay subscriptions. Every member shall provide contact details in accordance with the Data Protection Act. Members may invite friends or family members to play socially on the green on no more than 2 occasions.
OFFICERS OF THE CLUB The officers of the Club shall be full members and shall consist of a Chair, Secretary, Treasurer and a minimum of 4 Committee members. Officers shall be elected at the Annual General Meeting and shall hold office for one year, when all Officers shall be eligible for re-election to the same office or another office. Attendance at Committee Meetings shall be monthly or thereabouts. In addition, the Club must have a minimum of one fully trained and qualified Safeguarding Officer in order for the Club to meet legal requirements.
ROLES OF OFFICERS The Chair shall manage monthly Committee and other meetings for which the Secretary shall undertake the Minutes. The Secretary shall convene meetings as required, deal with all correspondence and documentation, keep a record of all members’ contact details, administer insurance policies, liaise with members, Committee members, League Captains and Vice Captains, and arrange representation at DDBA and SYCGBA meetings. The Treasurer shall accept all payments on behalf of the Club including subscriptions, manage the bank accounts, make all payments, prepare and present Final Accounts (Financial Year 1st October to 30th September) for approval at the AGM and present updates and reports at relevant meetings. Accounts shall be audited independently prior to the AGM. All Committee members will be involved in making decisions, as required, on behalf of the Club membership.
ANNUAL GENERAL MEETING The AGM shall take place during October each year. A quorum of 8 members must be present in order to conduct business, otherwise a future meeting must be arranged. Proposals for Agenda items or any changes to the Constitution, or for nominations of Officers, shall be lodged with the Secretary 2 weeks prior to the meeting. The Agenda shall be circulated to members one week prior to the meeting and there shall be no Any Other Business items. Vacancies for the new Committee and re-instatement of existing Officers shall be approved at the meeting with proposers and seconders, and a vote by members where more than one person is standing for office. Where there is a vote and a tie on Agenda items, the Chair shall have the deciding vote.
SPECIAL GENERAL MEETING A SGM may be convened by the Committee. The Secretary or Committee members shall also convene a SGM on receipt of a requisition signed by a minimum of 3 members.
CONDUCT OF MEMBERS All members, and persons accompanying them, must conduct themselves in a respectful manner not likely to cause or give offence to any other member, opponent, spectator or any other person/s on or near the bowling green, or opponent’s green, or any function organised by the Club. The Club is governed by the rules and guidelines provided by the BCGBA and DDBA. As tenants of Tickhill Town Council, the Club shall comply with the Pavilion Terms and Conditions for the use of the Pavilion. Any issues and problems regarding members must be referred immediately to the Committee or Safeguarding Officers, and in the case of away League matches to the Captain and where appropriate for discussion with the opposing Captain. Any complaint should be in writing addressed to the Secretary. After due consideration, any appropriate decision regarding discipline shall be made by the Committee. In the case of a serious offence, advice may be sought from one of the Bowls Associations (DDBA, SYCGBA or BCGBA) and/or the National Safeguarding Officers.
LEAGUE TEAMS League teams shall be entered according to numbers applying, lists being started at the AGM and confirmed by the beginning of January for formal entries with DDBA. Captains and Vice Captains for each League team shall be confirmed at the meeting held during February, prior to the Pre-Season Meeting for all members in March. Members playing in League matches shall be expected to wear Club shirts. It is expected that they shall arrive at the green a minimum of 15 minutes before the start of a game, otherwise a reserve may be appointed if prior notice has not been given.
New inexperienced members shall be expected to play socially for a season prior to playing in league matches. Experienced bowlers will be admitted to league teams at the discretion of the Captains, to either A or B teams, whichever is most appropriate.
DRESS CODE Club jackets in kingfisher blue are available for order and also sponsored polo shirts for League players at a reduced price. Flat soled shoes must be worn at all times. Heels and open toed sandals are not acceptable. It is the responsibility of all members to enforce this rule.
THE GREEN The green shall be treated with respect at all times. The contracted Groundsman, along with our own Groundsman/men, shall cut and maintain the grass. It is only deemed to be playable if the Captain and Groundsmen agree. Should the green be flooded, it can be deemed unplayable, as agreed by the 2 Captains.
SOCIAL BOWLERS & NEW PLAYERS Informal social bowling sessions are held on Tuesday and Thursday afternoons. Any member may play socially at any time of the week as long as League matches or competitions are not taking place. New players will be welcomed to the Club. Any new bowlers or members of the public wishing to ‘have a go’ shall be referred to the nominated Coach who will arrange sessions to help them improve their skills and learn the rules of the game. These sessions may be held any time to suit, or on Sunday mornings. Prospective new members may play two social games prior to deciding whether or not to join the Club.
SAFEGUARDING At least one member will act as Safeguarding Officer and attend basic Safeguarding training every 3 years. Safeguarding issues will be treated confidentially and actioned as appropriate to the situation. Records will be kept in a locked file which can only be accessed by Safeguarding Officer(s) and other members of the Committee on a need to know basis.
SECURITY All members shall be provided with a key to the gate. A key for access to the Clubhouse is held in a key safe near the notice board, the code of which is shared with all members. The alarm must be switched off and re-set on departure. It is the responsibility of the last member to leave the green to ensure that the building and gates are locked and secure.
DISSOLUTION Should the Club be dissolved, the equipment of the Club will be sold and the proceeds, together with cash and bank balances, be used to further the sport of bowling. Any decision will be made in consultation between the Committee and members of the Club.
